From lease to reconciliation

A tenant company’s year in four steps. The screens are from the MeskenPlus panel, with the data of the demo property Merkez Park AVM & Rezidans.

Lease

The lease holds the rent type and amount, the increase clause, the deposit, the notice period, the turnover declaration day and, line by line, who pays. An active lease only changes through an amendment or a rent increase, as a new version.

  • Increases by CPI, PPI or a fixed rate on the anniversary; for premises with a roof, the cap of the Code of Obligations (TBK) Art. 344 applies.
  • The end date, the notice deadline and the expiry of the letter of guarantee are reminded by email in advance.

Turnover declaration and rent charging

The tenant company declares the month’s turnover with its document; the management approves it or rejects it with a reason. When the month closes, the rents are previewed, posted and written to the landlord’s ledger.

  • If no declaration arrives, rent is charged at the minimum rent or an estimate, as the lease says; once the declaration is approved, the difference is charged or credited.
  • The same month cannot be charged twice.
  • Turnover rent is calculated from the approved turnover and the rate in the lease; each month’s rent shows on the lease with its document number.

Year-end CAM reconciliation

The year’s common area advances are compared with the actual costs: the section’s expense accounts and its share from the shared cost pools. The difference becomes a debit or credit note per tenant.

  • The basis of each unit’s share is visible, e.g. leasable m².

Occupancy and rent roll

How much of the leasable area is leased, how much is under renovation and how much is vacant; the rent, term, increase and deposit of the active leases.

  • Both download as Excel, CSV or PDF.

Mixed use: several sections in one property

A section is a part of the property whose budget and allocation keys are kept separately. The physical structure and the financial structure are independent of each other: in the same block, the shop on the ground floor can belong to the Commercial section and the apartments above to the Residential section.

Residential
Apartments by land share; the operating budget rules of Law No. 7579 apply.
Commercial
Shops by leasable m², or by m² weighted by unit type.
Office
Office floors with their own budget and key.
Parking
Parking and social facilities can also be a separate section with their own budget and key.

Shared cost pools and sharing rules

Costs that several sections benefit from, such as security, parking or landscaping, are first collected in a pool. A dated sharing rule with its basis splits the pool between the sections, and each section allocates its share to its units with its own key.

Worked example: ₺300,000 monthly security cost
StepCalculationResult (₺)
Residential share (fixed 55%)300,000 × 0.55165,000.00
Apartment with land share 12 (residential total 7,200)165,000 × 12 / 7,200275.00
Commercial share (fixed 45%)300,000 × 0.45135,000.00
250 m² shop (total 40,000 m²)135,000 × 250 / 40,000843.75
On the apartment’s statement the line reads: “Shared cost: Security — Residential share 55% (management plan Art. 14) · land share 12/7,200 · ₺275.00”.
A shared cost distribution in the MeskenPlus panel: the monthly cost of the common area and outdoor security pool split under the sharing protocol into Konut 30%, Ticari 58% and the office tower 12%, with each party’s expense, income and net share; the Konut share charged to its units.

Total area
In proportion to total gross, net or leasable m².
Number of units
In proportion to the number of units in each section.
Turnover
In proportion to the tenant companies’ approved turnover declarations.
Mixed
For example 40% fixed ratio and 60% leasable m².
Custom table
Ratios entered by hand for transition periods and exceptions.

Who pays?

Whether the owner or the tenant owes a charge has no single answer. MeskenPlus decides it line by line when the charge is posted, from the property’s legal regime, the nature of the charge and any clause in the lease.

Default payer by the nature of the charge
Nature of the chargeExampleDefault payer
Running (operating) costHeating, cleaning, security, common area costsThe tenant if there is one, otherwise the owner
Fixtures and major repairsElevator overhaul, facade, roofOwner
Owner’s obligationBuilding insurance, compulsory earthquake insurance (DASK)Owner
Contract chargeRent, turnover rent, service charge, marketing fundTenant company
Individual debtDamage, access card, parking subscriptionThe occupant, otherwise the owner; chosen when charging

A tenant company’s lease can state the payer and the ratio for running costs and contract charges: for example, 100% of running costs paid by the tenant, contract charges 50% by the tenant and 50% by the owner. A lease clause replaces the default; it cannot for items the law leaves to the owner.

In a condominium, the tenant is liable together with the owner, up to the amount of the rent. If the tenant does not pay, the remaining debt is notified to the owner; even after the tenant moves out, the debt stays on the role record of that date.

Two management models, one allocation engine

In a mixed-use property, the parcel structure sets the management model. MeskenPlus supports both.

One management, one ledger
Residences and mall on the same parcel or in the same housing estate: one management plan, one ledger. Pool costs are transferred to the sections with a distribution entry; the income and expense statement and budget vs actual are available section by section.
Separate managements, two ledgers
The residential management and the mall operator on separate parcels: two separate ledgers. Shared costs are passed from one side to the other by the rule in the protocol; the recharge document lands in both ledgers at once.

Moving from other software

You move your data yourself with ready-made Excel templates. An import is either written in full or not at all.

  1. Download the templates

Annotated Excel templates with Turkish headings for units, people, roles, opening balances, cash and bank.

  2. Upload your file

Excel or CSV; everything in one file, or one file per type of data.

  3. Map and validate

Map each sheet to a type of data and each column to a field. Every problem row is reported with its row and column in Excel.

  4. Preview and confirm

See the records to be added, updated and skipped; once you confirm, they are all written in one transaction.

We review the lists you export from other software together during the demo.

Questions about Ticari

Whose ledger is rent written to?

Rent is the landlord’s money: the rent of a landlord who is not the operator is kept in their own ledger and does not enter the management’s trial balance, debtor list or transparency screen. If the operator is the landlord, rent sits in separate accounts of the main ledger.

How is rent charged if no turnover declaration arrives?

At the minimum rent or an estimate, as the lease says, and it is flagged. Once the declaration is approved, the difference is issued as a debit or credit note.

What is the CAM reconciliation based on?

The period’s common area advances are compared with the section’s own expense accounts and its share from the shared cost pools. The difference is written per tenant, by the chosen key, as a debit or credit note.

Do the Law No. 7579 rules apply to the residential section?

Yes. Each section has its own operating budget; the residential section’s dues cannot exceed the cap of the approved budget.

Are e-invoices issued?

Not yet: e-Invoice and e-Archive are on the roadmap. Today, debit and credit notes are issued in MeskenPlus with series and sequence numbers.

Managing residential property only?

For apartment buildings, residential complexes and housing estates, MeskenPlus Konut offers the same ledger and the same rules without the commercial modules.
